Onboarding & studio standards

Welcome to the team — we’re excited to work with you and have you represent Alex Knight Studio. Our brand is built on trust, discretion, and timeless imagery, and we rely on photographers and videographers like you to carry that vision forward. The guidelines below keep our work consistent across the team — read them, then acknowledge at the bottom before your first event.

Studio Standards v1.0 — August 12, 2026

01Photography — File Format & Backup

  • All images must be shot in RAW format.
  • You are required to shoot with backup — RAW or JPEG — on a dual card slot setup.
  • Retain a copy of your backup files for at least 6 months following the event.
  • Before the event you will be given a memory card from Alex. You must shoot on that card and return it at the end of the night — this is non-negotiable.

02Videography — Camera & Recording

  • All footage must be shot in 4K at minimum.
  • Color profile: S-Log3 (Sony) or the equivalent log profile on other systems — confirm with Alex or Lasha before the event if you are unsure.
  • Frame rate: 24fps for cinematic coverage, 60fps for slow-motion moments — dance floor, key reactions, hora.
  • Shutter speed: 1/50 at 24fps, 1/125 at 60fps (180-degree rule).
  • White balance set manually and matched across all cameras on the day.
  • Cameras must be time-synced before coverage begins.

03Videography — Backup & File Management

  • Dual card slot recording is required. The backup card is non-negotiable.
  • Retain a personal backup of all footage for a minimum of 6 months following the event.
  • Before the event you will be given memory cards from Alex or Lasha. You must shoot on those cards and return them at the end of the night — this is non-negotiable.
  • Do not delete, overwrite, or reformat any cards until the studio gives clearance.

04Videography — Audio

  • Audio is as important as the picture. Plan for it actively, not as an afterthought.
  • Lavalier mics on the officiant and groom for the ceremony. A backup recorder is strongly preferred — Tascam, Zoom, or equivalent.
  • Mic the soundboard at the reception whenever possible for speeches.
  • Shotgun mic on camera for ambient and crowd audio.
  • Monitor audio with headphones during the ceremony and speeches.

05Dress Code

You are representing a luxury studio — presentation matters.

  • Dress in professional, modest, all-black attire.
  • No crop tops, sheer garments, or clothing with logos.
  • Footwear should be clean, comfortable, and unobtrusive.

06Payment, W-9 & Contract

All studio payments run through Gusto. Before your first event you will receive a Gusto invite by email — everything below happens inside it.

  • Complete your contractor profile and W-9 in Gusto — required before any payment can be processed. (Reference copy: irs.gov/pub/irs-pdf/fw9.pdf)
  • Review and sign the Independent Contractor Agreement in Gusto — one master agreement covering every project you take with us; each event is then simply confirmed by email.
  • Set up direct deposit in Gusto — this is how you are paid.
  • Submit your invoice within one week of the event at alexknightstudio.com/invoices — include the event date, hours worked, agreed rate, and any reimbursable expenses with receipts.
  • We pay within 5–7 business days of a submitted invoice.
  • Keep no more than two invoices open at a time — submit as you go, it keeps payroll smooth for everyone.
  • One-off engagements may occasionally be paid by Zelle at the studio’s discretion — the W-9 and this acknowledgment are required either way.

07Social Media & Content Sharing

We take client privacy seriously.

  • Client work may be shared only with the studio’s prior written permission, granted per project — ask before posting, and credit Alex Knight Studio whenever permission is given.
  • Even with permission, nothing posts until 3 months after the event — and never from events with a social media privacy clause.
  • Do not tag clients, vendors, or venues unless specifically approved by Alex Knight Studio.
  • Never present studio work as performed independently of AKS.

08General Conduct

  • Arrive early and prepared.
  • Load in through the venue’s service entrance if you have anything more than a camera bag.
  • Stay professional, warm, and discreet at all times.
  • Be discreet when eating. Absolutely no alcohol consumption on the job.
  • Communicate with the lead photographer or videographer — or the studio — if any issues arise during the day.
